This Privacy Policy explains how MedhaLink AI collects, uses, protects, shares, and deletes information when visitors use our website, customers evaluate a pilot, or approved users connect workplace systems such as Google Workspace.

Information We Collect

We may collect contact details, organization details, pilot requirements, support messages, product access information, and content that a customer or authorized user chooses to connect or upload.

For Google Workspace integrations, MedhaLink AI accesses Google user data only after customer approval and user consent. Depending on the approved scope, this may include:

  • Gmail messages, message metadata, labels, and attachments when an approved email workflow is enabled
  • Google Drive files, folders, file metadata, and shared documents when a customer approves Drive access
  • Google Calendar events, attendees, timing, descriptions, and related event metadata when calendar workflows are enabled
  • Basic Google account profile information needed to identify the signed-in user and connect the approved workspace
  • Related Google Workspace data that a customer administrator or user explicitly approves for a pilot or production workflow

How We Use Information

MedhaLink AI uses customer-approved information to provide the requested product experience and to support governed enterprise knowledge workflows. We use information to:

  • Provide source-backed answers to authorized users
  • Help approved teams find relevant business knowledge faster
  • Prepare governed drafts, summaries, and workflow materials for human review
  • Support audit visibility, customer administration, troubleshooting, security, and compliance review
  • Measure pilot adoption and service quality at a business level

Website Analytics

We use Microsoft Clarity to understand how visitors interact with the MedhaLink AI website through behavior metrics, heatmaps, and session replay. This helps us improve page usability, content clarity, site performance, and fraud or security monitoring.

Website usage data may be captured using cookies and similar technologies. Microsoft may also process this information according to the Microsoft Privacy Statement. Website analytics are separate from customer-approved workspace content and Google user data.

Google API Limited Use

MedhaLink AI's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We do not sell Google user data, use it for advertising, use it for unrelated model training, or allow access outside the customer-approved purpose. Human access is limited to support, security, compliance, or legal needs and is handled according to customer authorization and our internal controls.

Sharing, Storage, and Protection

We share information only with authorized customer users, approved service providers who help operate the service, or when required for legal, security, or compliance reasons. We do not publish customer workspace data or make it available to unrelated third parties.

We use administrative, organizational, and technical safeguards designed to protect customer data. Retention depends on the customer agreement, pilot scope, support needs, and legal obligations.

User Control, Revocation, and Deletion

Users and customer administrators may revoke Google access through their Google account or Google Workspace admin settings. Customers may also request access review, export, correction, or deletion through the MedhaLink AI support process.

When access is revoked or deletion is requested, MedhaLink AI will process the request according to the customer agreement, operational requirements, and applicable law.
